A Turnkey Translation® is a trademark of the Leemeta translation agency, representing a complete translation service carried out according to a standard procedure. This means that the client does not have to do any extra work with the translation as we take care of all the steps from translation to graphic design of the documents.

What is covered by your 100% translation guarantee?

Our 100% guarantee means that if you are not satisfied with our translation or service, you pay nothing. Your satisfaction is of the utmost importance to us and we strive to provide the highest-quality translations.

Why would I choose a test translation and what does it involve?

Test translation is part of our standard translation process, which allows you to find out if we are the right partner for you. It gives you a sense of what it's like to work with us and the quality of our translations. The test translation helps you decide whether to continue working with us.

Do you translate texts in the fields of technology, law, and other specialist areas?

Over the years, we have specialised in translating a range of specialist areas. In line with the requirements of the ISO 17100 translation standard, we work with experts who have many years of experience and expertise in specific fields such as engineering, law, medicine and pharmacy, finance, marketing, and many more. This way, we can ensure an accurate and high-quality translation that meets the specific requirements of your text.

Do you also translate and format marketing texts?

Of course, we also translate marketing texts. We take into account your preferences and guidance on the style of the translation to maintain the desired tone and message of your text. If desired, we can arrange copywriting or copyediting with the client, which allows us to tailor the text even more closely to the target market. In the case of website translation, we also take into account keywords (SEO) to achieve optimal results in search engines.

Can you provide me with a translator who specialises in my field of work?

Yes, when choosing a translator and proofreader for your project, we take into account their expertise, experience, and specialisation to ensure that your translation is of the right quality and in line with the terminology and style specific to your field of work.

Will a translation from Slovenian into French be done by a Frenchman? What about translations into German or English?

At Leemeta, all translations are done by native speakers of the target language. If you need a translation from Slovenian into French, it will be provided by a Frenchman or a person who speaks French as his or her native language. The translator may be a foreigner who has lived in Slovenia for a while and has completed all the relevant language courses, or a child of Slovenian parents born abroad and mastering both languages at the mother tongue level.

Translations are also always proofread and edited in order to eliminate any mistranslations as well as any other errors. If needed, an expert in the relevant field will be consulted to ensure the use of proper terminology. Proofreading is always performed by a native speaker of the target language.

 

What is an ordinary translation and what is a certified translation?

An ordinary translation is a translation by a professional translator and relates to everyday texts such as articles, contracts, e-mails, technical instructions, etc.

A certified translation is a translation carried out by a court-approved interpreter/translator, a person officially authorised to translate official and legal documents. A certified translation is stamped by the court-approved interpreter/translator, tied with a string, and is considered the official version of the document. We will always send you the certified translation in a scanned form by e-mail.

Which languages can you provide certified translations for?

We can provide translations of all languages for which there are registered sworn translators in Slovenia.
If your language is not listed, we can provide the translation into or from the desired language via English. This means a double translation therefore the price for such a certified translation is, of course, slightly higher.

I need an urgent certified translation. How fast can you provide it?

Certified translations have to be physically attached to the original document. That means that we need the original document, not only its copy.

If you opt to send us the document via regular post, at least two days need to be added to the time necessary for the translation itself.

A certified translation can be provided faster if:
 – you deliver the documents for translation in person or if you pick up the translation in person;
 – you make arrangements with us for the pickup of the documentation at your premises;
 – if you send the documentation for the certified translation by fax (+386 3 490 9311) or if you scan the documentation and sent it via e-mail ([email protected]) – the sworn translator can start with the translation immediately and attach it to the original afterwards;
 – you send the documentation via the Slovenian Post express post by 11am or via one of the delivery services by 3pm, we will receive it the same day.

 

Can I only order proofreading?

Of course. A proofreader, who is a native speaker of the target language, will take care of the stylistic and linguistic accuracy as well as adapt the proofread text to the target audience.

How do you make a translation?

At Leemeta, we have developed a multi-stage process that we follow with every project in order to ensure the optimal quality of each and every translation.

At LEEMETA, every translation goes through various stages, usually in the following order:

– accepting the materials,
– document preparation and analysis,
– quote preparation,
– confirmation of the project by the client,
– translation (if necessary in cooperation with an industry expert),
– proofreading,

– multi-stage technical review,
– graphic design,
– delivering the project to the client.

We always build long-term strategic partnerships with our clients. Therefore, our cooperation does not end with the project delivery. The client’s feedback is passed on to everyone cooperating in the project. Naturally we take care that it is taken into consideration in the course of further work. We update glossaries and translation memories of every client on the go. That way, we ensure a higher quality, consistency, and consideration of the guidelines for each project.

How long does it take to for a translation to be delivered?

The deadline for a translation depends on a number of factors, such as the length of the text, the language combination, the area of expertise, and any additional services. On average, our translators can process around 2,000 to 2,500 words per day. However, we try to be as flexible as possible and can adapt to your time requirements if necessary. Before the project starts, we will provide you with an estimate of the translation duration.

What is the original source document and why do you need it?

The original source document is the format of the document in which the text was created. This format allows us to work more easily with the text and to better preserve the design elements. In the case of PDF documents, it is necessary to check the format from which the document was created, for example catalogues, brochures, books, and manuals may be created in InDesign while user guides are often created in Word.

The original source document can ensure faster and more accurate translation and better preservation of the formatting elements of your original text.

What do repetitions mean?

At Leemeta, we use specialised translation tools that analyse the number of words in a text. The tool compares the text with existing translations, repetitions within the text, and partial repetitions.

As parts of the text may be repeated, we charge up to a 75% discount for these segments.

What does embedding on a website mean?

Embedding translated text on a website means that our in-house IT team makes sure that the translated text of the website content is placed in the right places, properly edited, and in line with your website's design guidelines. Read more in the website translation section.

This saves you time and effort as you don't have to do any more work with your website translation. We work closely with you to ensure that all the information is correctly positioned and that the overall translation of the web content is aligned with your needs and expectations.

What does it mean if the text is also proofread (bilingual review)?

Turnkey translations® is a service provided according to the ISO 17100 translation standard. The standard stipulates a service that includes translation, proofreading, quality assessment, and other elements.
This means that all our Turnkey translations also include bilingual proofreading, which ensures greater accuracy and quality of the translation.

Bilingual review helps to identify any errors, inconsistencies, or inaccuracies in the translation, which in turn helps to improve the final product.

Will you really deliver the translation by the agreed deadline?

How do you ensure the quality of your translations?

Quality is ensured through a multi-step process that includes the professional selection of translators and proofreaders, the use of terminology glossaries, translation memories, and internal quality assessment procedures. Translators and proofreaders are selected on the basis of their expertise, experience and specialisation, and are regularly evaluated and supervised. We also work with our clients to develop glossaries and take their feedback into account to ensure consistency and adherence to their preferred terminology. Furthermore, translation memories allow us to translate faster and more consistently as we can build on past translations.

What do ISO 17100 and ISO 9001 mean?

The ISO 17100 translation standard is an international standard that sets out the requirements for translation services and ensures that the procedures used by translation agencies are of high quality and appropriate. This standard focuses on key aspects of the translation process, such as translator qualifications, project management, proofreading, and quality assurance. ISO 9001 is a generic standard for quality management systems used in many industries, including translation services. This standard ensures that organisations consistently meet customer and regulatory requirements and continuously improve their services.

How do you ensure consistency in your translations?

Consistency in our translations is ensured through the use of specialised translation tools, translation memories, and the ongoing management of a glossary, which is submitted to the client for review and updating. This way, we make sure that we take into account the client's wishes and preferred terminology. We also work closely with translators and proofreaders who communicate regularly to ensure a consistent style and terminology throughout the translation. 

Are your translators and proofreaders native speakers?

Yes, at Leemeta, we are aware of the importance of translation and proofreading by native speakers of the target language. This ensures that our translations and proofreading are of high quality, accurate, and adapted to the cultural characteristics of the target language. In addition, our translators and proofreaders have the necessary training, experience, and expertise in their respective fields. 

What is QA (quality assurance)?

QA is a tool that compares the source and the target segments of a text.

It helps us identify potential errors in the translation (and the original), i.e. inconsistencies between the original and the translation, which among others include grammatical errors (punctuation marks, upper and lower cases), numerical discrepancies, formatting and terminology errors, etc.

What is a translation memory?

A translation memory is a database of already translated texts that we have created through our collaboration. The translation memory stores your terminology, translation style, and other elements that make translations faster and more consistent. Translation memories are used to account for partial and full matches in new translations. 

What is a glossary and why is it used?

A glossary is a collection of terms we use in our translations to ensure consistency of terminology and to take your preferred terminology into account throughout our translations.

What is monolingual proofreading and what is bilingual proofreading?

Monolingual proofreading is a review of a text written in a single language, checking for spelling, grammar, style, and any errors in the content. Bilingual proofreading is the process of checking the translation against the original to ensure that it is an adequate and accurate translation that preserves the sense and style of the original. Bilingual proofreading is part of the Turnkey Translations® service, which includes translation, proofreading, and quality assessment in accordance with ISO 17100.

I would like you to include some preferred terms in the translation. How do I do this?

You can let us know your preferred terms or terminology before the translation starts or during the process. We will insert them into the translation, terminology databases, and the translation memory so that they are used consistently in all your future translations. Our aim is to make sure you are happy with our translation and that you don't have any extra work with it. 

What is graphic design or DTP?

Graphic design as part of our translation services means that our team of graphic designers ensures that your translation is in the same or a very similar format to the original text. It is the graphic formatting of the translated document identical to the source.

When we receive source files from a client, we edit the translation in the same format as the original file. If we only receive PDF documents, we will do our best to ensure that the translation is in the same format as the original text. This service saves you time and effort as you don't have to edit the formatting of the translated text yourself. 

How do you take care of the graphic design of translated documents?

Our in-house DTP department is responsible for the final design of the translated documents. We design the text in the same or a very similar format to the original, which means your graphic design department has no extra work to do before printing or other distribution. In case of catalogues or brochures, we design them in the source file (InDesign or other). 

I need an urgent translation and I need it within a few hours. What should I do?

Please send us the text you need translated as soon as possible and give us a deadline by which the translation must be completed. We will work with our team to check the possibilities for a fast turnaround of your urgent translation and inform you of the options available. Our aim is to help you as much as possible in such cases and to provide you with a high-quality translation as quickly as possible.

I am going to need a translation but I still haven’t managed to prepare the documents. What do you need to prepare a quote?

For a rough estimate, you can use the price calculator  on our website.

  • For a completely accurate quote we would need to analyse the text for translation,
  • however, an estimated price of the order can be obtained based on your estimate of the length of the text. In that case, you will receive a quote merely as information. It should, however, suffice for a rough assessment of your costs.

Since the assessment can vary from the actual price even by 15% or more, it would be advisable to send us the final version of the documentation when you are ready.
Based on the analysis of the text you will receive a quote with the exact price and deadline for the delivery of your order.

 

How or in what form can we send you the materials to be translated?

We accept materials in all kinds of formats:

  • via our website,
  • via email,
  • via regular post,
  • via fax,
  • on different digital media (CD, DVD, etc.),
  • via online file transfer services or our server,
  • in various digital formats, such as MS Office (.docx, .xlsx, .pptx, .rtf…), picture formats (.jpg, .bmp…), Adobe Acrobat (.pdf), graphic formats (.indd, .psd…), text/web formats (.txt, .xml, .html, .php), translation software formats (.ttx, .qbd…) and many more;
  • the texts to be translated can also be transferred from your website by our IT department (Wordpress, Joomla, Typo3, Drupal).

How can I connect a colleague to another department that needs translation services?

You can provide your colleague with our contact details (e-mail, phone number) or you can give us your contact details and we will contact them ourselves. Together, we will find the best solution for their translation needs.

How do you determine the prices of translations? Per page or per word? Is the calculation based on the source or the translated text?

Translation prices are obtained according to the number of words in the source text. Our software allows us to make a detailed analysis of the words in the text and prepare a quote based on that analysis. This means that you will know the entire cost of the translation even before you confirm the project and the word count will be stated in the quote.

How do you calculate the number of pages/words in a document?

The calculation depends on the form of the translation materials we receive.

  • If you send the materials in electronic formats which enable editing (.doc, .xls, .txt, etc.), we can perform a quick analysis with our specialized software.
  • If you send the materials via fax, regular post or in electronic formats which cannot be edited (.pdf, .jpg, etc.), we first transform the materials into editable files, which are then analysed.
How are your services billed?

Our services are generally charged on the basis of the number of words in the source text. The price for a translation is determined by the language combination, the complexity of the text, the area of expertise, and any additional services such as proofreading, formatting, or urgent delivery. Before the project starts, we will provide you with a detailed quotation based on an estimate of the scope and complexity of the work, so you always know the costs upfront.

Why are prices and discounts different for different language combinations?

Prices for language combinations vary depending on the rarity of the languages and the complexity of the translation. We offer higher discounts for the more common language combinations you need in your business, as the cost of translating these languages is lower.

I've sent a text for translation to a translation agency. I was told that the exact price will be known after the completed translation. Upon delivery of the translation, I received an excessively high invoice. What is your pricing policy?

We always inform you about the price in advance.

After we have received the documentation for translation, we convert it to a suitable format and analyse it with specialized software. Based on the analysis we prepare the quote stating the exact price of the service beside the delivery deadline. No hidden costs, no guessing, and no prices giving you headaches. We certainly encourage you to obtain the price of a service before confirming the order.

None of us would probably buy a new fridge if we only learnt of its price at the delivery. The same applies to translations.

What does the expression “standard translation page” mean?

A standard translation page is a standardised unit of 250 words or 1,500 characters without empty spaces.

What is the minimum rate for translations?

A minimum rate is a unit charged for smaller projects or when the amount of the translation, which is otherwise charged by the word, does not exceed the value of the minimum charge. This unit allows smaller projects to take into account the time and effort invested in the translation.

I want to know immediately how much the translation is going to cost. Can I get this information?

Of course. Choose the Price Calculation option, enter the required information and you will receive a rough price estimate.

  • For a completely accurate quote the text you want to translate must be analysed.

Can I only order proofreading?

How quickly can you make a quote?

Our team of project managers and administrators are committed to getting the quote ready as quickly as possible. In most cases, the quote is ready in less than half an hour. In the case of a more complex project, we will let you know that it will take a little longer to prepare the quote.

How quickly can we receive the translation?

We pride ourselves on being a very “fast” translation agency with very short response times.

We always focus all our efforts on meeting the client’s requirements, thus we have been able to provide our services in record time if the need occurred. Within a few minutes after submitting an inquiry, you will receive a confirmation of its receipt, and within a few hours a quote stating the proposed delivery deadline. If your time is at a premium, the delivery date can of course be further discussed. How quickly a text can be translated depends on various factors, including the difficulty of the text, length of the text to be translated, language combination, etc.

 

Which payment methods do you accept?

You can pay for the services already upon receiving the quote or upon receiving the invoice to the bank account no. SI56 0400 1004 9590 560.

What is the payment term?

The payment term is indicated on the invoice you will receive after receiving the translation. The payment term is normally 7 days after the translation is delivered, but may be adjusted if a cooperation agreement is signed with the client, subject to specific agreement.

Who will be my account manager when working with you?

Each client is assigned an account manager at the start of the cooperation, who calls you and discusses with you all the details of your enquiry, your translation needs, and your ideas and wishes for the implementation. The account manager also monitors our cooperation and is available to answer any further questions or provide information.

How do you ensure the confidentiality of my data?

We store all your data in a secure environment on our servers, which are inaccessible to unauthorised persons. Your data is only processed by employees who are working on the project with you and we have confidentiality agreements with all our employees. All our translators, proofreaders, and colleagues have signed confidentiality agreements that oblige them to respect the confidentiality of all information they come across in the course of their work.

We also use secure communication channels and data storage, and maintain strict security measures to prevent unauthorised access to your information. If necessary, we are prepared to sign additional non-disclosure agreements that you propose to ensure compliance with your specific security requirements.

Do we sign a cooperation agreement at the start of the cooperation? Am I then bound to procure your services?

We like to conclude a cooperation agreement with regular clients, setting out the general terms of cooperation, such as contract prices, confidentiality, payment terms, and other aspects. The agreement is non-exclusive, which means that you are not bound to us alone. However, because of the common terminology, familiarity with the style, and other advantages, we strongly recommend that you work with one translation agency that knows you and can provide you with the service you need without any extra work on your part.

Is it possible to visit you at your headquarters? Is it possible to arrange a visit by your representative at our premises?

Data processing purpose and legal basis

We ensure that the personal data of data subjects are only used to meet the requirements of such data subjects, to conclude contracts and execute contracts. Such data are also used internally by us. Processing takes place in accordance with the European Union General Data Processing Regulation as well as Slovenian and EU laws and stipulations.

Personal data are processed when data subjects contact us (send an inquiry, request a quote, conclude an agreement with us or subscribe to our newsletter by email, phone or personally in our offices, etc.).

Based on the type of contact (requests, services or agreements) the data may be the following:

Those data are stored and processed in our system applied for the conclusion or execution of contracts signed with such data subjects, for the execution of services we provide and to enforce legitimate interests to enhance operations. The data are available to individuals that need such data to perform their work.

The management of the database of customers and other individuals Leemeta d.o.o. cooperates with is based on the enforcement of legitimate interest supporting our operations in line with the legislation with regard to the accuracy and transferability of personal data. We also take into consideration personal interests of data subjects since the access to our data processing system allows the following to our customers:

  • submitting inquiries;
  • confirming/rejecting inquiries;
  • archive of all inquiries and orders of a customer;
  • changing the access password;
  • overview of the invoices of such an individual.

Personal data of external contractors, translators, proofreaders and other experts are processed in accordance with the applicable Regulation.

Data are processed for:

  • payment transactions,
  • reporting to the tax administration,
  • data storage in the contractors’ databases.
